Terms of Service

3.1 Eligibility

You must be at least 18 years old to use Woxpas.

3.2 Account Security

You are responsible for:

• •Maintaining the confidentiality of your login credentials
• •All activity under your account
• •Immediately notifying us of any unauthorized access

4.1 Permitted Use

You may use Woxpas for:

• •Personal knowledge management
• •Professional knowledge management
• •Research and learning
• •Document summarization and recall

4.2 Prohibited Activities

You may not:

• ✕Upload illegal, harmful, or infringing content
• ✕Attempt to bypass security or access other users' data
• ✕Reverse-engineer or attempt to extract proprietary code
• ✕Upload malware or malicious content
• ✕Interfere with service operation
• ✕Scrape or harvest information
• ✕Violate applicable laws

5.1 Your Content

• •You retain full ownership of content you upload, including your preference profile
• •You grant Woxpas a limited license to store, process, and index your content to operate the Service
• •Your preference profile is shared with connected AI tools to personalise your experience — you control its contents and can edit or clear it at any time
• •We do not claim ownership over your documents, extractions, or preferences

5.2 No Monitoring / No Proactive Review

Woxpas does not proactively monitor or review the content you upload. However, if we receive a valid report of illegal or harmful material, we may:

• •Investigate
• •Remove the content
• •Suspend or terminate the account

("Notice-and-takedown" protection.)

5.3 Our Intellectual Property

• •All software, algorithms, UI, branding, and documentation belong to Woxpas
• •You may not copy, modify, distribute, or reverse-engineer the platform

6.1 Cloud Processing

All document processing (summaries, search, chat) occurs on secure cloud servers hosted in Germany (EU). There is no local processing in the Beta.

6.2 Storage

• •Your files are stored on servers in Germany (EU)
• •All user data is encrypted at rest using AES-256 disk encryption, including uploaded content, database records, and vector embeddings
• •Your data is never sold to third parties
• •Your data is never used to train AI models — neither by Woxpas nor by our AI providers

6.3 Automated Scanning and Agent Dispatch

Woxpas includes an automated scanning system (the "Watcher") that periodically reviews your vault to identify actionable patterns such as overdue commitments, unresolved contradictions, and idle ideas.

• •The Watcher runs automatically on a schedule and produces suggestions only
• •No agent is dispatched and no external processing occurs without your explicit approval
• •When you approve a suggested action, an AI agent may be dispatched to process the task using relevant vault content
• •Agents receive a scoped, time-limited access token (1 hour) restricted to reading vault context and saving session logs
• •Agent output is saved to your vault as an agent session log for full auditability
• •Unapproved suggestions expire automatically after 7 days

By using the Service, you consent to automated vault scanning by the Watcher. You retain full control over whether any suggested action is executed.

6.4 Use of AI APIs

To generate summaries and answers, portions of your data may be sent to trusted AI providers such as:

These providers do not use your data for model training.

9.1 User Responsibility

You are solely responsible for all content you upload to Woxpas.

9.2 No Monitoring

Woxpas does not proactively inspect or moderate uploaded content.

9.3 Illegal or Harmful Content

If notified of illegal, harmful, or abusive content:

• •We may investigate
• •Suspend or terminate the account
• •Remove the offending content
• •Cooperate with lawful authorities if required

9.4 No Liability

Woxpas is not liable for:

• •Any user-generated content
• •Any damages resulting from content uploaded by you or other users

This protects you under intermediary liability rules similar to Google Drive, Dropbox, Notion, and Slack.
