Uploading files

There are two ways to upload:

  • From the Sources page, click the Add button in the top right.
  • From the Memory Home, use the file icon in the capture surface.

You can also drag and drop files directly onto the capture surface.

How processing works

After you upload a file, it moves through these stages:

1
QueuedYour file is waiting to be processed.
2
ProcessingWoxpas is reading the file, extracting atoms (key ideas), entities, topics, commitments, and events.
3
In MemoryProcessing is complete. The file is now part of your knowledge graph and searchable.

If processing fails, the file will show a "Processing failed" badge. You can delete it and try uploading again.

What extraction produces

Woxpas uses atom and span-based extraction. This means it breaks your content into fine-grained pieces that are easy to cite and connect:

AtomsIndividual facts, ideas, or statements extracted from your content. These are the building blocks of your memory.
EntitiesPeople, organisations, tools, and other named things mentioned in your files.
TopicsThemes and subject areas that your content covers.
CommitmentsAction items, promises, and tasks mentioned in your notes. These show up in Follow-ups.
EventsDates, deadlines, and calendar entries found in your content.
SpansPrecise locations in the original text that back up each extraction — used for citations.

Managing your sources

The Sources page shows all your uploaded files with a search bar to filter by name. You can switch between list and grid views.

Actions

Click the three-dot menu on any file to:

  • View — Open the document in a viewer
  • Rename — Change the display name (the original filename is preserved for downloads)
  • Archive — Hide the file without deleting it. Toggle "Show Archived" to see archived files.
  • Delete — Permanently remove the file and all its extracted data

Bulk actions

Select multiple files using the checkboxes (or "Select All") to start a conversation with those files or delete them in bulk.

Google Drive

You can connect your Google Drive to import files directly into Woxpas. Google Drive access is currently in limited availability. You can request access from the Sources page or from Settings → Data & Privacy.

Once approved, a file picker lets you browse your Drive and select files to import. Imported files are processed the same way as uploaded files.
